President/Chief Executive Officer of your Lions Club for the coming year, members will depend on YOU for direction. Members will measure your performance in terms of personal satisfaction and enjoyment, especially at meetings. To achieve success the President needs to show enthusiasm, effort and dedication to the position. Be well prepared, and continually work to extend knowledge. That way there is every opportunity to be seen as a leader, a motivator and an organizer. Success depends on good planning and preparation. Good planning and preparation also make the job so much easier, and leads to a year of enjoyment, fellowship and achievement. Good communication is important too. Tell people what you want to achieve and ask for their help. Make sure goals are attainable. There will be odd occasions when your skills, and patience, will be well tested. Remember that you have your members to help you, and that the Zone Chairperson, District Governor, Cabinet Officers and other experienced Lions may be called on for assistance. Co-operates with and serves as an active member of the District Governor’s Advisory Committee of the zone in which the club is located. Some of the Duties of Club Secretary include: Taking minutes, recording votes by the membership and board of directors, forward the minutes to the president, Report the minutes at the next appropriate meeting when called upon. Process monthly membership and activities reports through the Lions Account. Co-operates with and serves as an active member of the District Governor’s Advisory Committee of the zone in which the club is located. Has custody of and maintains general records of the club, including minutes of club and board meetings; attendance; committee appointments; elections; member information, addresses and telephone numbers of members; members club accounts. Ensures that the Remembrance and delegates/alternates forms for the District & MD Conventions are returned in a timely manner to the Cabinet Secretary. Arranges for issuance, in cooperation with the Treasurer, of quarterly of semi-annual statements to each member for dues and other financial obligations owed to the club, collects and turns dues over to the club treasurer and obtains a receipt.
The Treasurer is the financial officer of the Lions Club and all official duties are under the supervision of the Club President and the Board of Directors. The duties of the Club Treasurer include: Receiving all monies, which are to be banked into the accounts approved by the Board of Directors. On the authority of the Board of Directors, issue cheques (never cash) in payment of Club obligations. Cheques must bear the Treasurer’s signature and one other club official. Prepare and submit financial reports for Board and club meetings on a regular basis (at least monthly). Serve on the Club Finance Committee, usually as Chairperson. Prepare an Administration budget at the beginning of the year. Maintain a ledger of money owing and received for each club member. Ensure that the books are audited and that all necessary reports have been lodged with District Cabinet and others as required. Hand over to your successor all books, documents, club property and ensure bank account signatories have been changed at the bank. Work closely with your successor to ensure a smooth changeover. This is a brief outline of duties; however, it is by no means all the duties, which should be performed by the Club Treasurer.
Membership Chairpersons are seen as an integral part of the team in this District. They are asked to attend incoming Club Officer Forums and District Governor Advisory Meetings (or Zone Meetings). MAIN DUTIES include: Membership Growth – the addition of new members. Membership Development & Retention – education, involvement and stimulation of members. Ensuring Sponsors are briefed on their responsibilities. Nurturing a team environment and ensuring support for members when they need it. CLUB PUBLIC RELATIONS AND MARKETING CHAIRPERSON Public Relations involves all forms of communication – written, verbal and non-verbal. It includes writing news releases and distributing promotional flyers. Equally important are actions often taken for granted, such as wearing a Lions lapel pin and marching in a parade. Good public relations – informing the community that your club built the park, conducted the vision screening or collected the eyeglasses – will help foster community support. More information visit Key Resources on PR. Public relations can even support your club’s membership efforts. People want to belong to a successful and reliable organization. By actively promoting your club and its worthwhile activities, you’ll be projecting a positive image in the community and showing that your club is worth joining. DUTIES include: Communicate information about your club to the community. Keep your club aware of PR efforts and results. Provide information to International Headquarters about outstanding programs and activities of your club, which might be of interest to regional and national media. Planning Ahead – Planning and timely execution are vital for your public relations efforts. Creating a Timeline – Determine how and when you will promote your club during the year and when you will start publicity for your club’s special events.
A SUCCESSFUL, HEALTHY LION CLUBS NEED TO FOCUS ON: Club Operations • Are meetings effectively planned and managed? • Is decision making fair and transparent? • Are club gatherings and events lively and of interest to members? • Do members regularly attend and participate in club functions? • Are financial obligations consistently met? • Does the club operate according to the LCI Code of Ethics? • Do you need to reconsider the format of club meetings? Service • Are the club’s service projects relevant to current community needs? • Are club members genuinely interested and personally connected with the type of service the club provides? • Are members enthusiastic and actively involved in the service provided by the club? • Can the club’s service impact be enhanced? • Is club leadership receptive to members’ ideas for new service ideas? • Does the club have a “signature project”? • Are new members invited to participate on project teams? • Are service activities and impact publicized? Leadership Development • Are club members made aware of and encouraged to take part in leadership development opportunities? • Are responsibilities of club leadership positions shared with members? • Do club officers participate in training for their position? • Do officers and members attend zone or region meetings and training offered at district conventions? • Are trained members offered the opportunity to serve in leadership positions? • Are new members provided effective orientation? • Are experienced leaders mentoring new leaders? Membership • Are opportunities to expand club membership regularly identified and pursued? • Does your club reflect the changing composition of the community? • Are members informed about club issues and events? • Does the club have a newsletter? Is a new format needed? • Is the club active on social media? • Are members invited to share their ideas and feedback – so they know their input is valued? • Does the club conduct meaningful inductions? • Are the efforts of members appropriately recognized? Remember... To maximize your success for a Stronger Healthy Club should be based on strategic goals established with input from club members. Make sure your club goals are SMART: SPECIFIC: A specific goal has a much greater chance of being accomplished than a general goal. You will have more focus if your objective is clear. MEASURABLE When you measure your progress, you stay on track, meet your target dates and experience the exhilaration of achievement that spurs you on to continued effort required to reach your goal. If you can’t measure it, you can’t manage it. ACTIONABLE Make sure you have some control over the accomplishment of your goal. If there is nothing you can do, you won’t succeed. REALISTIC Goals should be challenging but not so much that there is no chance of achieving them. TIME BOUND Set a timeframe for the goal: next week, in three months, by the end of the year. Putting an end point on your goal gives you a clear target toward which to work.
The responsibilities of the Zone Chairperson are: • To further the purposes and objectives of the International Association of Lions Clubs. • To work closely with all the District Officers. • Is a voting member of the cabinet. To attend all regularly scheduled meetings of the district as provided for in the District Constitution including the monthly CST (Club Support Team) meetings and quarterly Cabinet meetings, emergency meetings when called. • To play an active role in organizing new clubs. • To serve as Chairperson of the Zone Meetings and hold three meetings annually that focus on the following, Membership, Service and Leadership. A fourth/fifth meeting can be held for a Zone Social during the summer or Winter Holidays• To visit regularly the meetings of each club in the zone within the first quarter of the term in office and to report these visits to the District Governor and Multiple District. • To be informed about the activities and the well-being of all the clubs in the zone and to suggest and implement methods for assisting all the clubs within the zone, especially clubs on the status quo, young clubs, and clubs with problems. • To initiate the exchange of ideas on programs, projects, activities and fundraising methods in the club. • To create a good understanding within clubs about the District, Multiple District, and international programs. • To make sure that every club within the zone respects its constitution and bylaws. • To promote club representation at international, multiple district and district conventions by the full quota of delegates to which clubs are entitled. • To represent any club in the Zone which has a problem with the District, the Multiple District, or International headquarters. • To recommend qualified clubs to the District Governor for the Club Excellence Award. • To perform other functions and duties as required by the District Constitution as well as the Please visit the Lions International website Zone Chairperson’s Key Resources for more information.

Your club should consider hosting an inperson Zone and/or Cabinet Meeting. reach out to your ZC to schedule their club visitations • SECRETARY • Register with the LCI Lion Account to be able to report on your club’s membership and activities on a monthly basis. • Complete MyLCI & club activities (MyLion) reports from the 25th of the month and ensure all Members’ details are kept up to date. • Ensure when entering new data on MyLCI that the format is consistent with current data. • Forward any International and MD/District Membership Invoices direct to the Club Treasurer for immediate payment. • Regarding the Multiple District Directory that is sent to the President and Secretary – when you receive them, please check your Club’s details, update LCI and let the Cabinet Secretary know of any amendments. • • Schedule your Clubs Visits to other clubs - TREASURER Your clubs International and Multiple District Dues invoices will be received. Accounts are to be paid immediately on receipt, then have them ratified at the next Board/Business meeting. • Send all members notices of dues if your predecessor did not do this last month. Also ensure that optional insurance premiums have been paid. • • Have your club appointed an Auditor at the next meeting to serve for the year and recorded the appointment in your clubs Minutes. August- (1st Tuesday National Night Out against crime, August 12 International Youth Day)
PRESIDENT • President and Secretary to attend the first District Governor’s Advisory Meeting for your Zone, as convened by your Zone Chairperson. (Take the Treasurer and Membership Chairperson as well) Visit the District website for all the details. SECRETARY • Complete MyLCI report from the 25th of the month and ensure all Members’ details are kept up to date. • Login to the Lion Account and complete your club’s activity reports on MyLion. • Advise Cabinet Secretary of the names of Delegates and Alternates: also, the names Lions, Leos and partners of members who have passed away since last year’s District Convention (see Form 1 – names for Remembrance Ceremony and Form 2 – Club Delegates). These are available from the Cabinet Secretary and are also sent out in the Monthly Mailout to Clubs. These need to be received by the Cabinet Secretary no later than two weeks before convention. • Check your clubs records in the database to confirm information regarding your club is correct. Please notify the Cabinet Secretary as soon as possible of any errors or omissions. • TREASURER • Reminder – International and Multiple District/District Dues should have been paid by 31 July. PRESIDENT • Arrange for the Secretary, Treasurer and Membership Chairperson to attend the District Governor’s Advisory Meeting with you. Your Zone Chairperson should advise details. SECRETARY • Complete MyLCI report before 25th of the month and ensure all Members’ details are kept up to date. • Complete your club’s activity reports online on MyLion or on the MyLion App. • This is not a requirement, suggested if you have a large budget and funds coming and going . • TREASURER • Clubs with outstanding International Dues can be placed into financial suspension at the end of the month. If unfinancial, the Club Delegates will be unable to vote at District Convention. Note that individual Lions nominating for Foundation positions must also be personally financial. • Financial Suspension – if you have unpaid International dues at the end of September your club could be placed into financial suspension. This means that your Club Charter will be temporarily cancelled until this is rectified, and you will not be able to operate as a Lions Club. |

The PU101 will no longer be used. • Ensure the Board of Directors gives consideration to the date of Installation (Changeover) Night for the incoming Board and the appointment of an Installation Officer. SECRETARY • Complete MyLCI report from the 25th of the month and ensure all Members’ details are kept up to date. • Complete your club’s activity reports on the Lions Account (MyLion) or on the MyLion App on your phone. • Advise Members in writing of the time and place of the Election Meeting. You must give 14 days-notice in writing. • Order any Club awards as indicated by the President for the Installation Night. • Order your MD Directory through the club supplies website. • MD Office will notify you regarding the timing of the distribution of next year’s MD Directory. • Please complete and submit Forms 3 and 4 (Delegate and Remembrance Forms) for the MD Convention to the Cabinet Secretary by the end of March, even if you have no names to submit. • Club Secretaries please ensure that you have uploaded your club officers for the the incoming Lions year. Lionistic Year on MyLCI by the end of March. PU101 forms are no longer in use. There is no margin on that date whatsoever! TREASURER • International Office can place a Club into financial suspension at the end of this month if LCI dues are still outstanding. • More than two financial warning, can result of club closure. Why not hold an Internal Audit of your books this month? It will make sure that your figures are ready for the auditor promptly and without a last-minute panic at the end of the Lionistic year.• |

Membership as of 30 June is used to calculate semi-annual dues for the first 6 months. • Complete your club’s activity reports online in MyLion or on the MyLion App. • Notices of Motion of a District Project nature must be received by the Cabinet Secretary 90 days prior to the District Convention and Notices of Motion of an Administrative nature 60 days prior to the Convention. • With the incoming Secretary, check that the Club has full supplies of forms, badges, new Member kits, etc. and that filing, Members’ information, etc. is completely current for your new Secretary. Has your incoming Secretary visited the Lions Account, familiarized themselves with the Lions Account and gone through the training in the learning center? Have your minutes, include those coming on as bank account signer and removal of names. TREASURER • Makes arrangements for the audit of your Club’s accounts in July, and with your new Club Treasurer send out Dues accounts for the first six months of the new Lions year. • Make sure that your Incoming Treasurer has an End of Year balance for all accounts (unaudited where necessary) and check books and all necessary equipment for the year ahead. Have the bank signatories been changed? PLEASE HELP YOUR SUCCESSORS LEARN THE ROPES All Club Officers should attend Club Officer Training, it is FREE to attend and is held via Zoom. Your incoming DG Team is scheduling their Club Visits - Please contact them if there are any changes to your clubs planned visit. |
